What is a POS system? A plain guide for shops in Saudi Arabia

Published 6 min readSaudia Incorp

A POS (point-of-sale) system is where a shop records sales, takes payment and issues the invoice. What it includes, how a sale flows, and what Saudi rules add.

A POS system (point-of-sale system, usually called cashier software — «برنامج كاشير» — in Saudi Arabia) is the software and hardware a business uses to record a sale, take payment and issue the invoice. A modern POS also updates stock, keeps customer records and produces sales and VAT reports.

What a POS system includes

  • Software: product catalogue, prices and VAT categories, the sales screen, shifts and cash control, returns, and reports.
  • Hardware: a PC, tablet or all-in-one terminal; a receipt printer; a barcode scanner; a cash drawer; and a card terminal for mada and Apple Pay. Supermarkets add weighing scales; restaurants add a kitchen display.
  • Back office: stock, purchasing, customers and accounting — in the same system or connected to it.

How a sale flows through a POS

  1. The cashier scans or selects the items; the POS applies the price and VAT.
  2. The customer pays by cash, mada, Apple Pay, STC Pay or a split payment.
  3. The POS issues a simplified tax invoice with a QR code and prints or sends it.
  4. Stock decreases and the sale posts to the sales and VAT reports.
  5. Under ZATCA Phase 2, the signed invoice is reported to ZATCA within 24 hours.

What Saudi rules add

  • VAT: prices on the shelf are shown VAT-inclusive and the POS calculates VAT on every line.
  • E-invoicing: POS receipts are simplified tax invoices that must be generated electronically; in Phase 2 they are also signed and reported to ZATCA. See our ZATCA e-invoicing guide.

Cloud POS vs installed POS

A cloud POS keeps your data on the vendor's servers, so owners see every branch live from a phone and updates arrive automatically; a good one keeps selling offline and syncs later. An installed (on-premise) POS stores data on a local computer, which works without internet but makes multi-branch reporting, backups and compliance updates your responsibility.

Before you choose

FAQ

Frequently asked questions

Straight answers about compliance, pricing and migration.

Is a POS the same as the card machine?+
No. The card terminal from your bank only takes the payment. The POS records what was sold, calculates VAT, issues the invoice and updates stock; an integrated POS sends the amount to the card terminal automatically.
What is the difference between a POS system and cashier software?+
There is none in practice: cashier software (برنامج كاشير) is the everyday Saudi name for a POS system.
Does a small shop need a POS system?+
Any VAT-registered shop must issue compliant electronic invoices, which in practice means using a compliant POS or invoicing solution rather than a manual cash register.
